Who we are

IF IT Events (“we”, “us”) provides event services across the UK and is based in Farnborough, Hampshire. We are responsible for the personal information described in this notice. If you have any questions, email [email protected].

What we collect

When you ask for a quote (Contact page): your name, organisation, email address, phone number (optional), and the event details you give us, such as dates, venue, attendance, vehicles, the services you need and any other information you add.

When you apply to work with us (Work for us page): your name, town or city, email address, mobile number, the roles you’re interested in, your availability and travel, any licences, tickets or experience you tell us about, how you heard about us, and your confirmation that you are 18 or over and have the right to work in the UK.

When you email us: whatever you include in your message.

Please don’t send us sensitive information (for example health details) through the forms unless we ask for it.

How we use it

• To reply to your enquiry, plan your event and send you a quote.
• To deliver the services you book with us.
• To consider your job application, contact you about suitable work and, if we take you on, set you up to work with us.

We don’t sell your information, and we don’t use it for marketing mailing lists.

Our legal basis

We use your information because you’ve asked us to do something before entering into a contract (a quote or a job), to carry out that contract, and for our legitimate interests in running and improving our business. Where the law requires it (for example right-to-work checks), we use it to meet our legal obligations.

Who we share it with

We only share your information with trusted services that help us run the website and our email:

• Web3Forms – delivers form submissions to our inbox.
• hCaptcha – checks form submissions aren’t from spam bots.
• Cloudflare – hosts and protects this website, and provides basic visitor statistics without cookies.
• Google Fonts – supplies the fonts on this site; your browser connects to Google to load them.
• IONOS – hosts our email.

Some of these providers may process data outside the UK. Where they do, they use recognised safeguards such as UK-approved contract terms. We may also share information if the law requires it.

Cookies

We don’t use advertising or tracking cookies. The spam check on our forms (hCaptcha) may store small amounts of data in your browser, only to tell people and bots apart.

How long we keep it

• Enquiries that don’t lead to a booking: up to 2 years.
• Customer records: for as long as needed for the work and our accounts, normally up to 6 years.
• Job applications: up to 12 months if you don’t go on to work with us, so we can contact you about future events. Tell us if you’d like yours deleted sooner.

Your rights

You can ask us to give you a copy of your information, correct it, delete it, restrict or object to how we use it, or send it to you or another organisation. Email [email protected] and we’ll reply within one month.

If you’re unhappy with how we’ve handled your information, please tell us first. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.

Changes to this notice

We may update this notice from time to time. The date at the top shows when it last changed.
